
Financial Aid Coordinator
Job Description
Reporting to the Associate Director of Financial Aid, this staff position provides comprehensive administrative and operational support for a wide range of complex and confidential financial tasks that support the efficient and timely delivery of financial aid to Harvard Griffin GSAS’ approximately 5,000 students. Additionally, this position is a key contributor in providing exceptional service to both students and academic departments in a busy team-based environment. This role also serves prospective and admitted students with their inquiries on financial aid and funding their degree.
Position Description
Financial Aid Coordination
- Disburses tuition grants, stipend awards, and refunds of credit balances to students in a fast-paced, deadline-driven environment.
- Analyzes complex student funding issues, credit balance reports, scholarship excess report, and anticipated aid excess report for irregularities and recommends actions to take place.
- Creates payment agreements for students behind in their financial obligations.
- Assists with regular reconciliation of funds (stipends, payroll, etc.) as part of departments’ quality control and compliance requirements.
- Participates in assigning restricted funds and reaches out to departments on stewarded fund for input on potential recipients.
- Coordinates with external fellowships in conjunction with the Financial Aid Officer to interpret and apply outside aid in accordance with Harvard Griffin GSAS policy.
- Coordinates title IV materials to ensure Federal compliance.
- Assists with the processing of Federal Student loans and private loans as needed.
Financial Aid Customer Service
- Provides front line customer service to prospective, admitted, and current students on all aspects of Harvard Griffin GSAS admissions and financial aid.
- Explains complex financial aid policy, provides updated letters of financial support for students, and helps students navigate options (loan and otherwise) for paying outstanding student bills.
Admissions, Student Records, and Report Coordination
- Processes financial aid applications and participates in the processing of admissions applications and materials.
- Manages student records.
- Assists with production and review of reports, edits and updates financial aid forms, publications, and other materials.
Additional Duties
- Provides support as needed for other areas of the admissions and financial aid office.
- Provides back up coverage for the Harvard Griffin GSAS front desk.
Basic Qualifications
Three or more years of related experience. Education beyond high school may count toward experience.
Additional Qualifications and Skills
- B.A. preferred.
- Excellent organizational, interpersonal and communications skills.
- Highly positive customer service attitude with ability to interact professionally with a variety of constituents.
- Ability to handle a high volume of complex tasks and projects within deadlines is essential.
- Ability to respond with flexibility to shifting priorities.
- Must work well both independently and as a team player.
- Solid understanding of financial principles; proven experience working with financial issues and meticulous attention to detail.
- Strong computer skills required.
- Knowledge of Harvard helpful, but not required.
