The COSS Office Assistant (OA) is a member of the staff of the North Carolina Cooperative Extension (NCCE). The primary responsibility is to provide support to the Extension staff where assigned. The COSS OA cooperates with colleagues in the NCCE and county leaders in performing assigned responsibilities. The performance of assigned responsibilities is governed by the philosophy, objectives, policies, and procedures of the NCCE.

Under general supervision, the OA performs a variety of clerical and office support duties in an assigned area. Program work is characterized as routine to moderately complex clerical functions such as typing, filing, basic report preparation, answering telephones, and providing information. Employee must exercise considerable tact and courtesy in dealing with the public. This position reports to an administrative supervisor or director as assigned.

Primary Function of Organizational Unit
North Carolina Cooperative Extension gives our residents easy access to the resources and expertise of NC State University and NC A&T State University. Through educational programs, publications, and events Cooperative Extension field faculty deliver unbiased. research-based information to North Carolina citizens.

Other Work/Responsibilities

This position performs clerical duties for Cooperative Extension at the local level.

-Answers switchboard and directs calls to appropriate staff member and/or takes messages.
-Greets visitors and directs to appropriate staff members. Maintain staff location sheet in order to be able to direct calls and visitors.
-Furnishes information about programs and events.
-Schedules and maintains building and van reservations for other government agencies who use our facilities and van.
-Reviews and verifies records and reports to ensure that required information is complete and accurate.
-Prepares and completes a variety of monthly, quarterly, and annual reports.
-Establishes and maintains a variety of tangible files, filing and retrieving information as requested or otherwise necessary.
-Proficiently operates a computer in order to create documents, reports, forms, and presentations with Word, Excel, and PowerPoint. Corrects punctuation, spelling, and grammar of material produced or reviewed.
-Maintains signup sheets for various meetings, accepts registration monies, and writes receipts according to financial guidelines.
-Carries out special projects determined necessary by agents, staff, or supervisor.
-Work may require welcoming and registering participants, collecting fees and writing receipts, and preparing necessary handouts. Events may also include workshops, conferences, production meetings, field days, classes, achievement programs, and advisory committee meetings.
-Specialized marketing work is performed in creating newsletters and maintaining websites and social media pages. Sends public service announcements to newspapers regarding upcoming classes.
-Performs other related work as required by supervisor or when agents are in the field.

Monday - Friday business hours, evenings and weekends as needed.

Minimum Experience/Education

Graduation from high school and one year office assistance and secretarial experience; or an equivalent combination of training and experience.

-Must possess excellent customer service skills and have the ability to work independently.
-Organizational skills and ability to multitask.
-Skills in relevant computer applications/technology are required.
-Ability to write and upload content to websites and social media sites as directed.
-Ability to operate standard office equipment including printers, postage meters. computers, projectors, laminators, paper folders, and photo copiers.
-Ability to communicate effectively and work with a variety of people and programs.
-Ability to prioritize work and respond to clienteles’ needs.
-Ability to exert up to 50 pounds of force occasionally, and/or up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
-Requires the ability to maintain body equilibrium when bending, stooping, crouching. climbing, reaching, and/or stretching arms, legs, or other body parts, and to physically maneuver upon varying terrain, surfaces, or physical structures.

Preferred Years Experience, Skills, Training, Education

Graduation from high school or equivalent and one to two years of relevant experience, one year of which is specifically related to office support or working with the public. Skills should also include a working knowledge of various computer word processing applications or an equivalent combination of training and experience which provides the required skills, knowledge, and abilities. General knowledge of database and website management.
