Job Description

Under the leadership of the Assistant Dean/Executive Director of Residential Life and Student Conduct for Student Development and Services, the administrative assistant has general responsibility for maintaining the office and supporting the goals and objectives of the Residential Life Department. The Administrative Assistant will be responsible for the correspondence and dictation of the Student Life Office, Resident Managers, Coordinator of Student Activities and the Assist. Dean. He/she must inform students of their housing assignments, maintain current room occupancy charts for all residence halls, and perform data entry for student housing records. Other duties include drafting and maintaining statistical and attrition reports; compiling resident status and term reports; opening, sorting and distributing mail; receiving visitors; answering telephones; making appointments; and preparing travel requests, vouchers, purchase orders and other work order requests. Maintain retrievable files, miscellaneous activity records, current lists of available off-campus housing, and office supplies and materials. The incumbent may serve as chaperone for students on off-campus trips. He/ she will perform other duties as assigned by the supervisor.

 

 

Qualifications

Associate degree in Administrative Office Technology, Business or a related discipline is strongly preferred. A combination of two years of administrative office experience with a high school diploma is accepted. The successful candidate must have the ability to interact positively and work effectively with students; coordinate and prioritize assignments; perform duties autonomously; and must possess exceptional customer service, interpersonal relations, and communication (written and oral) skills. Ability to establish priorities, resolve routine problems independently, and handle varied tasks efficiently and effectively required. Must exhibit a high degree of professionalism and confidentiality and be proficient in Microsoft Office. Knowledge of Jenzabar and Paycom system preferred.

SPECIAL REQUIREMENTS: Candidate must act responsibly and handle all student files and other documentations with strict confidentiality and discretion. Must be willing to work some weekends and evenings as requested by the supervisor.
